The Payroll and Benefit Generalist plays a key role in the Talent Management function as they are the subject matter expert and are responsible for flawless administration of payroll and benefits. They are the technical point of contact for the administration of our HRIS and Payroll Systems.   In addition, this role is responsible for accurate and on-time payroll processing, benefit enrollment and management, and administration of Leaves of Absence, regulatory compliance, and reporting and maintenance of the HRIS systems.  This role is both independent and part of a team-oriented function and the holder of this seat must work well in a fast-paced environment, under tight deadlines and must enjoy responsibility for a variety of tasks within the department.  They must work well in a collaborative team environment and build and maintain strong relationships across the Talent Team and other departments and employees.

Duties and Responsibilities

Payroll Administration/processing and maintenance of HRIS systems

  • Prepare and process biweekly payroll, review and ensure accuracy of timesheets, track and deduct all garnishments and other special payroll deductions. Process all reward payroll runs for programs beyond bi-weekly payroll.
  • Handle the administration of the electronic timekeeping system. New employee set up, timecard and login issuance and oversight.
  • Maintain Compensation spreadsheets with complete accuracy and support Compensation Analysis.
  • Track and report on the accumulation and use of Paid Time Off programs.
  • Ensure confidentiality of all payroll and employee data.

 Benefit Administration, analysis, orientation and invoice reconciliation

  • Administer benefit plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate deductions.
  • Administer Open Enrollment each year.  Arrange for distribution of plan summary materials and required notices, assist with communicating changes to employees and arrange for onsite representation by providers when necessary.  Process changes within deadlines.
  • Process monthly billings from insurance providers.  Review billings for accuracy, codes and advances for payment.  Resolve discrepancies with carriers and Illume.  Complete reports for management as requested.
  • Perform year end responsibilities to include updating employee benefit contributions and determining deductions for Group Term Life (GTL).
  • Serve as a contact in benefit and 401k audit processes.
  • Complete annual ACA and ERISA benefits reporting requirements.
  • Serve as the first point of contact for leave of absence. Review new leave requests to determine eligibility. Provide required leave and benefits-related paperwork and correspondence, review completed paperwork received, and monitor the employee's status throughout the leave.
  • Process claims and tracks time off due to all Leave of Absence including but not limited to personal leave, worker's compensation, FMLA, and Disability.  Manage all administrative aspects of leave to include tracking hours used/taken and ensuring that pay for associates is accurate and correct.
  • Manage STD/LTD programs and vendor relationships. Ensures that disability claims are coordinated with FMLA and/or payroll.

 HR Administration, reporting, regulatory compliance and record keeping

  • Establish and maintain complete and accurate recordkeeping, including personnel files.
  • Ensure compliance with federal and state regulations with regards to record retention schedules.

 Manage workers' compensation and unemployment

  • Investigate accidents involving employees and follow-up with the appropriate paperwork. Manage claims to resolution in conjunction with insurance adjusters.
  • Complete unemployment claims.

 Training and Security access administration

  • Work with the VP of Talent Management to administer required annual and other training courses. Schedule appropriate conference rooms and prepares the physical setup, including any audiovisual equipment, for training.

 Experience Required

  • Working knowledge of Payroll Systems (Paychex a plus)
  • Prior experience administering benefit programs
  • Compliance and incident reporting (Workers Compensation and Unemployment)
  • Exposure to compensation programs and administration
  • General knowledge of employment laws and practices.
  • Excellent computer skills in a Microsoft Windows environment. Must include Excel, PowerPoint and Word with demonstrated skills in database management and record keeping
